Administering Help

Adminstering Webcast Sessions

This interface will allow you to add new sessions, edit existing sessions, or delete scheduled sessions. You'll also be able to upload or delete online resources as well as launching a session.

1. Add a New Session

Click here to add a new session and fill out its session info (see "Editing Session Infomation" below).

2. Manage Online Resources

You'll be able to upload course materials here..

3. Edit Session Info

If there are stored sessions, you may select one from the select box and click on "Edit Session Info" to edit that session's information. See "Editing Session Information" below for more information.

4. Delete Session

You can delete stored sessions by clicking on the session you want to delete and click "Delete Session." Please be advised that you be asked for confimation (just in case you might have accidently clicked this button) and a dialogue box will inform you of the success of the deletion.

5. Begin Session

Click on the session you would like to start and click "Begin Session" to begin the webcast.

6. Session Selection Box

You can view and select stored sessions here.

Editing Session Information

When adding a new session or editing an existing session, you'll be taken to this screen where you can insert or modify each field. New session fields will be blank, and editing a currently stored session will be filled with pre-existing information.

7. Main Menu

This is the filename of the video as stored on the server. The filename is automatically generated everytime you create a new session and is unique to that session. You cannot edit this.

8. Presentation Name

This is the name you want to give your presentation as it will be shown in the Presentation Selection Box (6).

9. Presentation Description

A short description of your presentation as will be seen by webcast participants.

10. Name of Session Host

The name of the presenter for that session.

11. Scheduled Date

Pick a date for the presentation here. Click on the icon on right of the text field to get a calendar where you can select a date.

12. Scheduled Time

Insert a time for the session here. No specific format is necessary.

13. Notes/Instructions

You can type notes and instructions for the presentation for yourself here.

14. Upload a New Slideshow

Click here to upload a slideshow presentation to your session. Your slides must be in .jpg format and must be sequentially named "Slide1.jpg" "Slide2.jpg" (without quotes) and so forth. All the slides must then be compressed in a .zip format. Please make sure that all slides are at the root of the compressed file, not contained in a folder and then compressed.

15. Save

Click "Save" to save any changes and close the "Edit Session Info" window. If you haven't made any changes, then it will just close the window

Uploading a Slide Show

Before you can present slides over a webcast, you must first export your slides in .jpg format, compress them to a .zip, and upload them. This guide will show you how.

 

 

 

 

 

 

 

 

 

 

 

Saving

      

Take your opened PowerPoint file and go to File> Save As.... A Save As dialogue box will appear. Typically, this window will already load the directory that your PowerPoint is in. If it isn't, that's ok, you can save the export anywhere you like, just remember where you saved them. In the Save As window, click on the drop down menu of "Save as type" and select "JPEG File Interchange Format (*.jpg)." You might have to scroll down the drop menu to see it. Click "Save."

Click "Every Slide" to export every slide in your PowerPoint to jpegs. PowerPoint will export the files to a directory with the name of your PowerPoint in the directory you specified in the "Save As..." dialogue box.

 

Compressing

Open the directory with the name of your PowerPoint file that PowerPoint created. Notice that all the files are named "Slide1.JPG," "Slide2.JPG," and so forth. Highlight all the files so that they are selected and right-click any file to open up the context menu. Mouse down to Send To > Compressed (zipped) Folder. Let you it do it's magic and you'll have a nice new compressed file with all of your slides in it. The new file should have a .zip extension.

Uploading

Log in to the Adminstration Screen and select a session you'd like to edit. At the Edit Session Information Screen, click "Upload New Slideshow."

     

A new window will open up asking for the compressed file that you created. Click "Browse" and a File Upload window will open. Look for the .zip file that you created, select it, and click "Open."

This window will appear while your compressed file is being uploaded. Please be patient; as soon as the file finishes uploading, you'll get a confirmation screen with a link to go back to the Webcast System. That's it!
